Worked example

A year with Seaview Cottage

One host, one property, twelve months — here's what tracking it in Hosts Assist looked like, start to finish.

Seaview Cottage is a fictional example, not a real customer — used here to show what the numbers look like in practice.

Before the first booking

The host running Seaview Cottage — a two-bedroom holiday let listed on Airbnb, Booking.com, and let directly through a personal website — got in touch, said how many properties they were managing, and had an account ready the same day. There's no self-serve signup and no card details entered into a form; each account is set up individually.

Logging as it happens, not catching up in April

A Booking.com reservation comes in — logging the guest, dates, and rate takes well under a minute. A cleaner's invoice arrives after a turnover — a photo of the receipt, categorised as Cleaning, and it's done. Airbnb pays out at the end of the month, linked directly to the booking it settles, so it's clear at a glance what's still owed and what's been paid.

None of this needs a dedicated session. Each entry takes moments, fitting into the working day rather than requiring one set aside for it.

Reconciling and closing out the year

By January, the Reconciliation page had income set out against expenses month by month — no formulas to check, and no risk of a dragged cell throwing off a total. Once the accountant had what they needed, the year was locked in Settings, preventing any accidental edits to the completed books while work continued on the next one.

That's the process in full: set up once, log entries as they happen, and the figures are ready whenever they're needed.
